2022 electronic W-2s are now available in the State of Kansas Employee Self-Service Portal (ESS) for State of Kansas employees.

Employees are encouraged to consent to receive W-2s electronically. Instructions for completing the consent are detailed by clicking this link.

If you experience issues when trying to complete your W-2 consent, try a different web browser such as Mozilla Firefox or Google Chrome.

For employees receiving a printed W-2, the form will be printed and mailed by the end of January 2023. 

To help you plan time off and work schedules throughout the year, below are the designated holidays for 2023.

Holidays for State of Kansas employees are designated on an annual basis by the governor of the State of Kansas and the Kansas Board of Regents for eligible employees.

The following dates have been designated as paid holidays for all departments of Wichita State for the 2023 calendar year. This information is available online at any time.

  • Discretionary Day *
  • New Year’s Day (Observed) — Monday, Jan. 2
  • Martin Luther King, Jr. Day — Monday, Jan. 16
  • Memorial Day — Monday, May 29
  • Independence Day — Tuesday, July 4
  • Labor Day — Monday, Sept. 4
  • Veterans Day — Friday, Nov. 10 (Classes are in session on this day.)
  • Thanksgiving Day — Thursday, Nov. 23 and Friday, Nov. 24
  • Christmas Day — Monday, Dec. 25

* The discretionary day must be used during the payroll calendar year. For 2023, it must be utilized between Dec. 25, 2022, and Dec. 23, 2023. This paid leave benefit is used for observance of a holiday, family event or another special day. Employees who work a Monday through Friday schedule should plan to use their discretionary day on or before Friday, Dec. 22, 2023.

Employees will not be paid for the discretionary day in lieu of taking the time off, and the banked hours expire at the end of each payroll year. Employees will use standard leave request procedures to seek leader approval in advance of taking the discretionary day.

The 2023 Winter Closedown period has not yet been developed and approved by university leadership.  Once that has been completed, the schedule will be communicated to ensure all employees can manage their time off appropriately.

Are you working remotely? Do you plan to work remotely? Do you plan to hire someone who will work remotely? Then be sure to read on for important information about the university’s remote work policy and process.

To provide the opportunity for work / life balance, job satisfaction and a more inclusive workplace, the university supports a variety of flexible work arrangements. Remote work is one type of flexible work arrangement where an employee is approved to work at an alternate work location for a designated period of time. 

If an employee is working remotely or wants to work remotely, the employee should first reach out to their direct supervisor for authorization.

After receiving the initial approval, additional approval will be required if:

  • The employee is seeking to work outside the State of Kansas for at least 30 consecutive days; or
  • The employee is seeking to work outside of the United States for any period of time; or
  • The employee is on a visa and the proposed alternate work location is different from the approved employee’s assigned worksite listed on the employee’s visa application.

If any of the above circumstances are applicable, employees must submit a remote work request through the University’s Online Request Portal.

All remote work requests must be submitted via the university’s Online Request Portal at least 30 days prior to the start of the remote work arrangement, or as soon as possible if a 30-day notice is not possible. If you are currently working remotely and have not previously submitted a remote work request via the online form, you must do so immediately.

Leaders should not make the final determination on the remote work arrangement until after they have received additional information from their HR Business Partner.

Employees do not need to submit a remote work request if:

  • The remote work is being performed within Kansas (regardless of the length of time of the arrangement); or
  • The remote work is being performed within the United States for less than 30 days.

Leaders who have remote work requests that do not need to be submitted through this process should follow the university procedure outlined on the flexible work arrangement website under “Approval for Flexible Work Arrangements.”

This process is not intended to disrupt an employee’s work or prevent an employee from working remotely. Rather, this process is in place to ensure that the university and leaders have the information needed to comply with all wage and hour, payroll, tax, immigration, export, cybersecurity and other federal and state employment laws and related security concerns.

Employees should not submit a remote work request if they have not discussed the arrangement with their leader first.

Remember, remote work is a privilege, not a right. Remote working arrangements will only be available to employees who follow all university processes and procedures and cannot start until after they have received the proper level of approvals (including the direct leader). Each remote work arrangement is different and may be subject to additional restrictions with regard to access and use of university networking and email systems, equipment and facilities.

Employees enrolled in 2022 coverage through the State Employee Health Plan can earn a premium discount worth $480 annually and HSA/HRA rewards dollars up to $500 per year for each employee and covered spouse by logging healthy activities throughout the year.

In December, there is one event currently scheduled worth up to one credit: At 1 p.m. Dec. 7, there will be a webinar on managing holiday stress. Register for the webinar.

Take advantage of some of the on-demand and online options to earn HealthQuest credits.

  • Online wellness assessment: Earn 10 credits for completing this assessment.
  • 2022 HealthQuest program overview video and quiz: Earn three credits for watching this video and completing the short quiz.
  • Virtual health coaching sessions: Earn up to 15 credits (maxibe1 health coaching per day, one credit each) by scheduling health coaching sessions. You can choose a health coach who is a nurse, a dietitian or a trainer.
  • Learning modules: Earn up to 12 credits by completing on-demand learning modules in the HealthQuest portal. Choose from dozens of topics.
  • EAP on-demand training: Earn up to 10 credits combined by completing EAP on-demand training that you can access through the HealthQuest portal and attending EAP webinars (max one credit per day).
  • KPERS financial wellness learning module: Earn 10 credits by completing this five-week learning module.

The office of Human Resources will be closed from 10:30 a.m. to 2:30 p.m. Monday, Dec. 5 for team building.

In preparation for the 2022 Holiday Shutdown, the HR Talent Acquisition team will implement the following deadlines related to hiring all positions (excluding the Division of Industry and Defense Programs). This will provide a more positive experience for candidates while ensuring positions are posted and employees are hired successfully prior to the shutdown.

For Posting Benefit Eligible Positions or conducting a search:

  • All PAR Forms must be submitted to marketbasedcomp@wichita.edu by Tuesday, Dec. 13, 2022.
  • PAR forms must be fully approved and submitted to employment@wichita.edu by Thursday, Dec. 15, 2022.
  • Approved PAR postings must be entered into PeopleAdmin and submitted to the HRIS reviewer by noon Friday, Dec. 16, 2022.
  • All Intake meetings must be completed by Monday, Dec. 18, 2022, and job posting wording will be confirmed with the hiring manager and posted by the Talent Acquisition team by end of day on Dec. 20, 2022.
  • The first New Hire Orientation (NEO) in 2023 will be held on Tuesday, Jan. 10, 2023. To attend this session:
    • All verbal offers must be accepted by the selected candidate by Tuesday, Jan. 3, 2023.
    • All candidates must be cleared for hire by HR by noon on Friday, Jan. 6, 2023.

This includes but is not limited to having new hire paperwork completed, and hiring proposal approved in PeopleAdmin. Candidates who are not cleared to begin work by the deadline will have their start date rescheduled and attend the Jan. 24, 2023, NEO.

  • Any pending position descriptions or requests for posting received after Dec. 15, 2022 will be handled following the 2022 Holiday Shutdown. Any offers that are accepted after Jan. 3, 2023, will be able to start in NEO on or after Jan. 24, 2023.

What could be scarier... than missing open enrollment?

Open Enrollment for 2023 closes at 11:59 p.m. CT Monday, Oct. 31. If you have not yet submitted your enrollment by that time, you will be enrolled in a default medical plan. Members who waived medical coverage in 2022 will continue to be waived in 2023 if they do not submit an enrollment.
