Information Technology Services Applications Training is thrilled to announce its new ITS applications training resource hub. The hub will be a one-stop shop for all the resources covered in the ITS applications training and includes other useful links and guides. The hub will replace the former Admin Processes and Procedures Toolbox, but the same information will be available and more accessible to users.

Schedule-building training is coming soon, and we want to make sure that your department is prepared. If you have a new schedule builder who needs training, please note that a request for access must be submitted and approved by the Office of the Registrar prior to registering for the training.

The Schedule Builder’s supervisor must email a request for access to stusecurityaccess@wichita.edu.

Please include the following information in your request for access:

  • Employee name
  • myWSU ID
  • Department, subjects they are building for, if different than the department

If your department is currently without a schedule builder, please notify stusecurityaccess@wichita.edu so that the necessary arrangements can be made for the schedule with ample time. If you are a department chair who wants to schedule building access, you can simply sign up once the training is available.

The Human Resources Total Rewards team is reminding staff and faculty that the deadline for fall 2021 Tuition Assistance applications is Thursday, July 1. Tuition Assistance applications for fall 2021 are submitted through the Online Application Form.

The fillable PDF form will no longer be accepted. Due to the volume of applications received each semester, requests to submit late applications will be automatically denied. There will be no exceptions. Questions may be directed to TuitionAssistance@wichita.edu.

All employees will need to login to myTraining and complete the “Drug Free Workplace” online training module by Sept.1, 2021.

Wichita State University is committed to maintaining a drug-free workplace and providing a safe work environment in support of fostering employees’ good health.

As a Federal contractor, WSU is required under 41 U.S. Code 8102 to provide a drug-free workplace, part of which is to establish a drug-free awareness program to inform employees about the dangers of drug abuse in the workplace; the policy of maintaining a drug-free workplace; any available drug counseling, rehabilitation, and employee assistance programs; and the penalties that may be imposed upon employees for drug abuse violations.

HR and OIEC have partnered to develop resources to establish a drug-free awareness program including a drug-free workplace procedures webpage, policy 3.03 / Drug-Free Workplace, a drug-free workplace flyer, and a new online training module.  The new required online training module will be a short online module to educate employees on the topics included in the drug-free awareness program.

Employees enrolled in the 2021 State Employee Health Plan (SEHP) can earn a premium discount worth $480 annually and HSA/HRA rewards dollars up to $500 per year for each employee and covered spouse, by participating and logging healthy activities throughout the year.

Four events are scheduled for June worth up to 11 points:

Now is a good time to take advantage of some of the on-demand and online options to earn HealthQuest points.

  • Virtual Health Coaching Sessions: You can earn up to 15 points (max one health coaching per day, one point each) by scheduling Health Coaching Sessions. You can choose a health coach who is a nurse, a dietitian or a trainer when scheduling sessions.
  • Learning Modules: You can earn up to five points by completing on-demand learning modules in the HealthQuest portal. There are 18 different topics to choose from.
  • EAP On-Demand Trainings: You can earn up to eight points (max one point per day) by completing on-demand training and webinars that you can access through the HealthQuest portal. There are 32 different topics to choose from.
  • HealthQuest Financial Wellness Learning Module: You can earn five points by completing this four-week learning module.
  • Health Assessment Questionnaire: You can earn 10 points for completing this assessment.
  • HealthQuest Program Overview Video and Quiz: You can earn three points for watching this video and completing the short quiz.

Health Insurance.

Effective May 29, 2021, State Employee Health Plan (SEHP) medical benefits will cover COVID-19 related services according to the regular provisions of an employee’s medical coverage. COVID-19 related services will be subject to all copays, deductibles and coinsurance provisions when received from network or non-network providers.

The SEHP will continue to cover the following related to COVID-19:

  • COVID-19 tests are available at no cost for all state employees, all employees of active non-state employers and all spouses and dependents over 10 years of age covered by the SEHP at the HealthQuest Health Center in Topeka. Curbside testing is available by appointment only. To schedule an appointment, please call 785-783-4080.
  • COVID-19 tests are also available at no cost through the public health response effort. Statewide locations for testing are available here.
  • COVID-19 vaccinations will continue to be 100% covered as a preventive care service.

Cash-handling training is available for all employees handling cash on behalf of the university. If you are a new employee or an employee who needs a refresher, it is highly recommended you take this course. This online training has been made available from the Office of Financial Operations and Business Technology and can be accessed by logging on to the myWSU portal and clicking on the myTraining link under the Employee Training, Resources & Professional Development section.

Another helpful resource, Cash Handling Procedures Guide, is also available from the myWSU portal. Requests for working title submissions
Requests for 146 working titles were submitted by the May 14 deadline and have been reviewed.  Of the 146 requests, 125 were supported by HR, a few with minor edits for titling consistency or to provide more clarity. The remaining 21 requests will be sent to the divisional officer for review as they fell outside the guidelines established for a working title. Any requests for a working title submitted after the deadline will be processed when the systems transitions are complete in August.  

Status of updates to job descriptions in the new job catalog

Spreadsheets were sent to supervisors on April 27-28 with a list of all those they supervise. The spreadsheet contained the job description each employee’s job is mapped to in the new job catalog.  Supervisors were asked to share this information with each employee individually and encouraged to do so within two weeks. This information will be utilized for the individual market-based compensation statements and will be sent to supervisors the third week of June. As of May 28, we will pause on making updates to the job catalog until system transitions are complete in August.

 

Here are a couple of questions raised during the faculty and staff Town Hall hosted by President Rick Muma and Interim Provost Shirley Lefever on May 13. Please visit the Human Resources website to view additional material related to the Market Based-Compensation Program.

Q:  When will the university transition to market-based compensation be complete?

A:  The university will complete the transition to market-based compensation in July 2021. The completion will align the University with the annual pay cycle and in fall 2021 HR will conduct a full base pay analysis to include:

  • Partnering with University leaders to gather feedback on each current employee’s experience, education, and skills and determine appropriate placement within the assigned pay range (pay range assignments not applicable to teaching positions). When complete for each employee, this will allow us to review internal base pay equity.
  • Assessing how competitive our base pay is in relation to the external market.
  • Developing a multi-year strategy to prioritize future base pay increases to begin to close any gaps identified in the analysis, as funding becomes available for this purpose.
  • Establishing the annual pay cycle which starts at the beginning of each calendar year and includes updating market data, conducting a base pay analysis in advance of the budget cycle, and making base pay increases effective at the start of each Fiscal Year if funding is allocated for that purpose. No funding is allocated for pay increases for FY2022.
  • Utilizing the Compensation Administration Guidelines by leaders throughout the year to aid in creating consistency in the administration of base pay decisions.

Q:  Will there be base pay increases in FY22?

A:  Unfortunately, there were no financial resources allocated for base pay increases in FY22.

Q:  Will departments that have financial resources be allowed to fund base pay increases?

A:  The university will align to the annual pay cycle, use the results of base pay analysis to determine future base pay increases, and move forward in a unified approach. Base pay increases at the department level and not in accordance with the methodology established by the university will not be allowed.
